OP Remote Meeting Service

The OP Remote Meeting Service allows remote participation in Cooperative and Representative Assembly meetings of OP cooperative banks.

With the OP Remote Meeting Service, Cooperative and Representative Assembly meetings within OP cooperative banks can be held as hybrid meetings. In a hybrid meeting, some of the participants are present at the location notified in the invitation while others can participate via remote connection. 

The service also includes a voting function, which makes it easy to organise voting and to vote.

  • To participate in a meeting through the OP remote meeting service, you will need:
  • A computer, tablet or smartphone 
  • An online connection
  • An email address
  • A secure identification method

A secure identification method refers to personal user identifiers granted by a bank or a mobile certificate offered by your mobile network operator. A secure identification method is the same method used to sign in to an online or mobile bank service or to confirm purchases at an online store.

Meetings are held on the Microsoft Teams service. Microsoft Teams is a free tool approved by OP and used by OP cooperative banks. When participating in a meeting with a tablet or smartphone, you need to download a separate Teams app on your device. When participating with a PC, you do not require a separate application and can instead participate in the meeting by using the browser.

Please note that each person participating via remote connection must do so using their own device. 

Participating in a meeting with the OP Remote Meeting Service

Signing up for a meeting

  • Please make sure that you have all the abovementioned tools required for participating in a remote meeting. 
  • When signing up for the meeting, please notify that you are participating remotely.

Holding meetings

  • Before the meeting begins, you will receive two reminders to join. Reminders are sent to the email address you provided. 
  • The reminder to join the meeting will include information regarding the meeting and a personal ID code required to join. Before the start of the meeting, make sure that joining the meeting is successful and that the service works without issue. 
  • If you encounter issues while using the service, please contact the contact person of the meeting mentioned in the invitation.
  • After you have signed in and the service has inspected your right to participate, you can join the Teams meeting by clicking on the link that appears.
  • The start screen of the meeting will now appear. After the meeting starts, you can participate via video and audio. The material to be processed will appear on the screen and you can participate in the discussion by turning your microphone on. It is a good idea to keep your voice muted when you are not participating in the discussion.

Voting

  • In meetings where votes are held, the meeting host initiates the vote by adding a link to the voting service to the meeting view, which is visible to all participants. After clicking on the voting link, the OP Identity Provider Service will open. By re-identifying yourself, you will authenticate yourself as a meeting participant who is eligible to vote.
  • After you have identified yourself, a voting screen will appear. Keep the meeting service running in the background instead of closing it. This will allow you to hear the sounds from the meeting and possible instructions, and you can easily navigate back to the meeting after voting.
  • In the voting service, you vote by selecting your choices and confirming your selection by clicking on the Vote button. The confidentiality of your vote is ensured and it is not visible to other participants.
  • After voting, you can navigate back to the meeting service by clicking on Close Voting and Return to the Meeting button.

Leaving a meetin

  • You can leave the meeting by clicking on Leave the Meeting.
